People forget most of what a course taught them

Much workplace training is delivered once. People take the course, pass the quiz and go back to work.

By the time they need the procedure or the rule, much of it has faded, because seeing something once isn't the same as learning it.

The pass mark hides how much is missing. Draw 25 questions from a pool of 100, set the pass mark at 80%, and a passing learner has shown they know a fifth of the material.

The completion record still says everyone is trained. It can't show you who would get a step wrong while feeling sure they had it right.

That gap costs the most where a mistake has serious consequences, and in the critical tasks people perform only rarely, where no daily practice keeps the knowledge fresh. Another annual course doesn't close that gap.

What changes when training stays in memory

  • Knowledge retained all year

Otto keeps exercising every part of your content long after the course, so what people learned is still there when the moment comes.

  • Wrong but confident answers caught early

Each answer carries a confidence rating, so you see the answers people get wrong while feeling sure of them.

  • A record of who knows what

Mastery is tracked for each person on each topic, so you can show an executive or an auditor where knowledge is strong and where it's thin.

  • Sessions of a minute or two

A session takes a minute or two on any device, with no classroom time to book.

  • Less administration

There are no enrollments to manage and no learners to chase, and a change to your content reaches everyone at once.

  • Answers on the job

Knowledge Cards let people look something up the moment they need it, and you can see what they look up most.

How Otto takes your people from new material to mastery

  1. Map what people need to know

In Content Studio you set out your material as modules, topics, concepts and short Activities, each linked to a Knowledge Card. Or start from a free sample module and adapt it.

  2. Set the goal for each group

Assign a Mastery Profile and tell Otto how deeply each group needs to know the content. Otto enrolls everyone in what the profile holds.

  3. Two minutes a day

Otto prompts each person for a Training Session of a minute or two. Sessions walk through new material first, then mix topics and ask people to recall and apply it, with feedback after every answer.

  4. Mastery rises and stays high

Only a confident right answer moves someone up a Mastery Level. As each concept starts to fade, at a pace set by how easily that person learned it, Otto brings it back.

  5. See where everyone stands

The analytics show who has reached the goal, where the knowledge gaps are and where knowledge has lifted.

What's inside OttoLearn

Everything below comes with every plan unless it says Enterprise Plan. For the full feature list, visit ottolearn.com (opens in a new tab).

Adaptive Training Sessions

A Training Session takes between one and two minutes. People can take one daily or a few times a week, at the start of a day or a shift, and they choose when.

Anyone can come back for extra practice, and reminders arrive on the schedule each person picks, as push notifications on the iOS and Android apps.

Each session is built for the person taking it. Otto works on that person's weak areas, mixes concepts from different topics, and uses scenario questions that ask people to recall what they know and apply it.

Feedback follows every answer, right or wrong.

Six OttoLearn phone screens fanned out: a learner's stats, a finished session showing points earned and its duration, the learner dashboard, a weekly draw leaderboard, and a question on phishing marked correct with the learner's confidence set to high.

Device and language support

OttoLearn is mobile-first and works at a desk too: in any browser on any device, and in iOS and Android apps. On the Enterprise Plan the apps can carry your brand.

The interface is available in 20 languages, and each person picks their own. Content can be offered in more than 100 languages, with several in one Mastery Profile and support for right-to-left scripts.

For accessibility, OttoLearn aims to meet WCAG AA and has a high-contrast mode and text enlargement.

Knowledge Cards for quick reference

Every Activity links to a Knowledge Card, a page of reference with text, images and video.

When someone needs an answer at work, they can search for the card or browse by topic, without taking a session first.

Otto reports on which cards people view and what they search for, so you can see what's hard to remember and where your content needs work.

Leaderboards, contests and rewards

People earn points automatically as they level up, and administrators can award points for streaks or for work done outside Otto.

Points can be spent in a rewards store you stock yourself, and a daily cap on each activity keeps points tied to knowledge and your reward budget under control.

Contests can be set up for teams or for individuals, starting from ready-made contest types.

You decide what each leaderboard shows, whether names are visible, how many winners there are and whether they're picked by rank or by draw.

  • Mastery Levels and confidence tracking

Otto tracks every person on every concept across six Mastery Levels: Unknown, Novice, Aware, Competent, Proficient and Expert. With each answer, people say how confident they are.

A confident right answer moves them up a level, an unsure wrong answer costs one level, and a confident wrong answer sends them back to Unknown.

Mastery also fades over time. Otto estimates how quickly each person will forget each concept, based on how easily they learned it, and brings the concept back when a refresh is due.

It's spaced repetition, timed for each person.

  • Mastery analytics and reporting

The dashboard updates as people train. It shows assignments, average mastery strength and activity over the last three months.

It sorts learners into those in mastery, those engaging who aren't there yet, and those not engaging. It also shows engagement by module, and knowledge gaps and lifts measured from accuracy, confidence and time taken.

Filter any view by the user attributes you keep. That helps you tell a knowledge gap from a behavior problem.

On the Enterprise Plan, a custom dashboard in Microsoft Power BI can set mastery and engagement beside your own business numbers, with data from your LMS, HRIS, ERP or other systems.

  • Mastery goals for each group

Administrators set goals in place of enrollments. Assign a Mastery Profile to a group and Otto enrolls each person in everything it holds, at the depth you set.

When you revise the content, the change reaches everyone without anyone being re-enrolled.

Because Otto does one job, raising each learner's mastery, it takes very little administration. Nobody chases learners to finish, and an update is made once and is live everywhere.

  • Content Studio

You write OttoLearn content in Content Studio, laid out as a knowledge map of modules, topics, concepts and the Activities that exercise each concept.

Each concept needs at least one Activity, ideally three or more, and an Activity takes about two minutes to enter.

Scaffolding options (Mastery Pre-requisite, Sequential Exploration, Layered Importance and Scheduled Mastery Depth) put the foundations before advanced material and the critical content first.

Publish piece by piece, update or retire content whenever it changes, and every learner gets the new version straight away.

    • A free library of sample modules to import and adapt, including employee onboarding, first aid and safety, and leadership basics
    • Built-in automatic translation, and manual translation wherever you want to set the wording yourself

The Neovation team approached this implementation in a very coordinated way, having key staff from each team on calls with us twice a week since kickoff. Besides those on the calls, there were a number other team members behind the scenes ensuring our implementation was a success, while supporting the time difference without issue.

FAQ

Do we have to replace our LMS?

No. OttoLearn works on its own, alongside whatever LMS you use. Your LMS delivers the long-form course, and OttoLearn reinforces it for the rest of the year.

Can we bring in our existing SCORM courses?

No. SCORM and AICC courses are designed for a desktop and work poorly on a phone, so OttoLearn doesn't import them. You write content in Content Studio instead.

How much time does it take from our people?

A minute or two per session, daily or a few times a week. A session fits at the start of a day or a shift.

How much administration does it need?

Very little. You assign a Mastery Profile once and Otto handles enrollment, and an update to your content reaches every learner on its own.

Where is our data hosted?

On Amazon Web Services in Canada, encrypted at rest and in transit.

How are users counted?

Everyone who can log in to your account during a month counts, whether they log in once, many times or not at all.

Can you help us launch it?

Yes. Our team can set up your account, connect your systems and train your administrators.
